1. Clean & Structure Your Qualitative Data

Goal: Create a clean, anonymised Google Sheet where each row is one codeable unit.
- Remove filler words, timestamps, and interviewer prompts from transcripts.
- Standardise formatting: one response per row, consistent punctuation and language.
- Anonymise: Replace participant names with IDs (P01, P02). Remove identifiable locations.
- Segment responses: split a paragraph covering multiple themes into separate rows (sentence or meaning unit).
2. Define Your Thematic Framework (Codebook)
Module B
A codebook is the foundation of rigorous coding. For each code, document: name, definition, inclusion criteria, exclusion criteria, and a real example.
Definition: Factors preventing service access (distance, transport, roads).
Include: distance, cost to reach, road conditions.
Exclude: cost of service itself, quality after access.
3. Set Up Your AI Coding Assistant

Option 1 – Manual (best for under 50 responses):
Open ChatGPT (GPT-4o recommended). Create a custom GPT or use a system prompt with your full codebook. Then paste responses one by one using the prompts from the toolkit.
Option 2 – Automated (Google Sheets + Apps Script):
Set up columns: ID, Response, Code, Confidence, Rationale, Status. Install the script from the toolkit (Extensions → Apps Script). Add your OpenAI API key and codebook. Run the script to code all rows in batch.
4. Execute Coding (Single or Batch)

Using the prompts library, send each response or a batch of responses to the AI. For each response, the AI returns: primary code (from your codebook), confidence score (0-1), and a short rationale.
- Single response prompt: ideal for testing and ambiguous texts.
- Batch prompt: paste up to 20 numbered responses, receive JSON array of codes.
- Optional: Request secondary code or sentiment tag (positive/negative/neutral).

- Group codes into themes – Example: “Distance,” “Transport Cost,” “Road Conditions” → theme “Physical Access.”
- Identify patterns – Run cross-tabs: are certain themes more frequent for women/rural participants?
- Extract key quotes – Select 1-3 vivid, representative quotes per theme.
7. Write Donor-Ready Evaluation Findings

Turn coded insights into structured evaluation outputs that meet donor standards.
